What Is Productivity, and Why Does It Matter for Your Small Business?

Written by Evelyn Mytka, Contributing Writer

As a small business owner, you’ve probably wished for more hours in the day.

Between serving customers, managing finances, marketing your business, and handling day-to-day operations, it’s easy to feel like there’s always more to do.

That’s where productivity comes in.

Productivity isn’t about working longer hours or constantly staying busy. It’s about finding better ways to use your time so you can focus on the work that matters most.

If you saved just 30 minutes every workday by streamlining one repetitive task, that’s more than 120 hours over a year. That’s the equivalent of about three full work weeks you could spend serving customers, developing new products, planning for growth, or simply getting home a little earlier.

What is productivity?

Productivity is simply a measure of how efficiently work gets done.

Imagine two businesses with the same number of employees working the same number of hours. One serves 20 customers a day. The other serves 30 while maintaining the same quality of service.

The difference isn’t necessarily that one team is working harder. They may simply have better systems, clearer processes, or tools that help them work more efficiently.

For a small business, productivity might look like:

  • automating invoices instead of creating them manually every week
  • using an online booking system instead of scheduling appointments by phone
  • creating email templates for common customer questions
  • organizing customer information in one place instead of searching through emails and sticky notes
  • spending less time on administration and more time serving customers

Even small improvements can make a noticeable difference over time.

Why is everyone talking about productivity?

You may have heard about Canada’s productivity challenges in the news recently. According to the Bank of Canada, Canada’s labour productivity grew by about 3% per year during the 1960s and 1970s. Between 2000 and 2019, that average fell to about 1% per year, and productivity has remained weak since then.

That matters because productivity plays an important role in economic growth, business competitiveness, and long-term living standards.

While governments and economists often discuss productivity at a national level, it starts with individual businesses finding better ways to use their time, adopt new tools, and improve the way they operate.

When businesses become more productive, they can often grow more sustainably, invest in new opportunities, and stay competitive.

The good news is that you don’t need a large team or a big budget to make meaningful changes.

Take time to plan

When you’re busy running a business, planning often gets pushed to the bottom of the to-do list.

But taking time to step back can actually save you time in the long run.

A business plan helps you clarify your goals, identify priorities, and make decisions with confidence. As your business changes, your plan should change too.

If you’re not sure where to begin, Business Link Alberta’s free interactive Business Plan Builder can help you create or update your business plan at your own pace.

Look for ways to simplify your work

Think about the tasks you do over and over again.

  • Could appointments be booked online?
  • Could invoices be automated?
  • Could frequently asked customer questions become email templates or website content?

Imagine you spend 20 minutes every day answering the same questions from customers about your hours, pricing, or services. That’s nearly two hours every week. Adding an FAQ page to your website or creating email templates might take an afternoon, but it could save you dozens of hours over the course of a year.

You don’t need to overhaul your entire business overnight. Small changes that save a few minutes each day can add up to hours over the course of a month.

Learn from other entrepreneurs

When Karla and Fil purchased Airdrie Laundromat, they knew there would be a learning curve. Rather than trying to figure everything out through trial and error, they connected with Business Link Alberta and participated in the Digital Marketing Program to build their knowledge and strengthen their marketing strategy.

Investing time in learning early helped them make more informed decisions as new business owners.

That’s another form of productivity. Sometimes working smarter means learning from others before tackling a challenge yourself.

Choose technology that works for you

Technology can help simplify many of the tasks involved in running a business. Maybe you’re still booking appointments through text messages. Maybe invoices are created manually every Friday. Maybe customer information is scattered between sticky notes, emails, and spreadsheets.

The right technology doesn’t have to be expensive or complicated. Something as simple as online booking, accounting software, or a CRM can eliminate repetitive tasks and free up time for higher-value work.

Depending on your business, that could include:

  • accounting software
  • online booking systems
  • inventory management tools
  • customer relationship management (CRM) software
  • e-commerce platforms
  • AI tools that can help with tasks like brainstorming, writing, research, or organizing information

Not every tool is right for every business. The goal is to choose technology that solves a problem and gives you more time to focus on what matters most.

If you’re exploring digital tools or wondering where to start, Business Link Alberta can help you understand your options.
